Privacy Policy

ServiceAgent ("we," "us," or "our") builds custom AI systems for businesses. This policy explains what information we collect when you use our website or services, how we use it, and the choices you have. We try to keep it plain and concrete.

1. Who we are

ServiceAgent is operated by ServiceAgent (a Texas-based business). Our website is www.serviceagent.dev. We are the data controller for information we collect through this site and through our discovery, demo, and engagement processes.

2. Information we collect

Information you give us directly

  • Voice memos. When you record a voice memo on our site, we receive the audio recording and a transcript generated from it.
  • Contact details. Email address, name, and company information you provide when booking a call or submitting a memo.
  • Business context. Any details you share about your business, workflows, or systems in your voice memo, booking form, emails, or calls with us.
  • Scheduling information. When you book a call, the data you enter into our calendar tool (name, email, company website, intake responses).

Information we collect automatically

  • Device and usage data. IP address, browser type, operating system, referring URL, pages viewed, and timestamps.
  • Cookies and similar technologies. Small files stored in your browser to support site functionality and analytics. See Section 5.

Information from third parties

  • Cal.com. When you book a call, our scheduling provider shares your booking details with us.
  • Public sources. We may look at your publicly available company website or LinkedIn profile to prepare for our conversation.

3. How we use information

  • To respond to your voice memo and prepare a tailored demo for our call.
  • To communicate with you about scheduling, calls, proposals, and engagements.
  • To deliver, support, and improve our services.
  • To send transactional emails (confirmations, reminders, follow-ups).
  • To send pre-call educational content related to your booking.
  • To understand how visitors use our website and improve it.
  • To comply with legal obligations and enforce our terms.
  • To protect against fraud, abuse, and security threats.

We do not sell your personal information. We do not use your voice memo or business information to train third-party AI models.

4. Legal bases for processing (EEA / UK)

If you are in the EEA or UK, we process your information under one or more of these legal bases:

  • Performance of a contract — to deliver services you have requested.
  • Legitimate interests — to operate and improve our business, communicate with prospects, and protect our services.
  • Consent — where we ask for it (e.g., marketing emails outside an active engagement).
  • Legal obligation — where required by law.

5. Cookies and analytics

We use cookies and similar technologies to:

  • Keep the site running (essential cookies).
  • Measure traffic and how visitors interact with the site (analytics).
  • Measure the effectiveness of advertising, if and when we run ads.

You can control cookies through your browser settings. Disabling certain cookies may affect site functionality.

6. How we share information

We share information only with service providers that help us operate the business, and only to the extent necessary. We require these providers to handle your information securely and use it only for the purposes we specify.

We may also share information:

  • To comply with a legal obligation, court order, or government request.
  • To protect the rights, property, or safety of ServiceAgent, our clients, or others.
  • In connection with a merger, acquisition, or sale of assets (we will notify you if this occurs).

7. Where your data is stored

Our infrastructure and subprocessors are primarily located in the United States. If you access our services from outside the United States, your information will be transferred to and processed in the U.S., which may have data protection laws different from your jurisdiction.

8. How long we keep information

We keep information for as long as we need it to deliver our services, communicate with you, run our business, and comply with our legal obligations. In practice:

  • Voice memos and transcripts: retained for the duration of the engagement plus up to 24 months, unless you ask us to delete them sooner.
  • Lead and contact records: retained while we have an active relationship and for a reasonable period after, for legal, accounting, and follow-up purposes.
  • Analytics data: retained for up to 26 months in aggregated form.

You can request deletion at any time (see Section 9).

9. Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of your information.
  • Request a copy of your information in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.
  • Opt out of the sale or sharing of personal information (we do not sell information).
  • Lodge a complaint with a supervisory authority.

10. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit, restricted access controls, and reputable infrastructure providers. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and applicable authorities as required by law.

11. Children

Our services are not directed to children under 16, and we do not knowingly collect information from them. If you believe we have collected information from a child, contact us and we will delete it.

12. Third-party links

Our site may link to third-party websites or services that we do not control. Their privacy practices are governed by their own policies, not this one.

13. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Effective" date at the top. Material changes will be communicated through the site or by email where appropriate.

For EEA/UK residents: You have rights under the GDPR/UK GDPR. The data controller is ServiceAgent. You may lodge a complaint with your local supervisory authority.
